A Step-by-Step Guide to Your Free Equipment List Template
This Google Sheet template is designed to be straightforward and quick to use.
Important First Step: Make a Copy of the Template Before you can begin, you must save an editable copy to your own Google Drive. The original template is view-only.
- Open the Google Sheet.
- Go to the File menu.
- Select Make a copy. Name your file and save it.
For your convenience, a copy of these instructions is also included on the ‘Instructions’ tab within the Google Sheet itself.
Step 1: Get Acquainted with the Template Structure The template uses clear color coding.
- Light Blue cells: These are for you to edit with your company and equipment data.
- Light Grey cells: These should not be edited, as they contain formulas. The template has input tabs (“Company Details,” “Equipment List”) and printable output tabs.
Step 2: Enter Company Info Go to the Company Details tab and customize the light blue cells. Fill in your company logo, name, phone, email, and address.
Step 3: Enter List Details Open the Equipment List tab. Fill in the light blue cells with the details for each piece of equipment. Completing columns like Serial Number and Warranty Information is key for accurate records.
Step 4: Review List Summary Once you have completed the input tabs, go to the Printable List – Full Summary tab. This sheet will display all entered data in a clean report with your company info at the top. If you need to make changes, go back to the input tabs and edit the light blue cells.
Step 5: Printable List & Records When the list is final, you can generate the permanent document. You can print it or create a secure PDF for your records (File > Download > PDF Document).
