Important First Step: Make a Copy of the Template Before you begin, you must save a copy of the Google Sheet to your own Google Drive. The original template you receive is view-only to ensure every user starts with a clean version. To make your own editable copy:

Step 2: Enter Customer and Service Details For each new receipt, fill in the customer’s name, address, and contact number. Then assign a unique receipt ID and enter the name of the employee who generated the receipt.
Step 3: Detail the Work Performed Navigate to the “HVAC Receipt” tab. Create a line item for each service or major piece of equipment included in the job. Be specific in the DESCRIPTION column. Enter the QTY and UNIT PRICE for each item. The template will automatically calculate the total amount for you. After entering all items, record the date on which the receipt is generated to complete the entry accurately.
Step 4: Confirm the Payment Information In the summary section at the bottom, all the details, including the total amount, are automatically calculated based on the QTY and UNIT PRICE entered in the HVAC Receipt.
Step 5: Save and Send the Receipt Review the “Printable Report-Summary” tab to see the finished, professional receipt. To send it, go to “File” > “Download” and select “PDF Document (.pdf)”. A PDF is a secure, non-editable format that you can easily attach to an email or print for your records.
Step 6: (Optional): Print a Blank Field Copy For situations where you need to fill out a price list by hand, the template also includes a blank version. Navigate to the “Printable Report-Blank” tab to print a clean copy that can be completed manually while on a job site.
